Quotes
There are times when you need to send an estimated budget on how much your service will cost. Rather than rely on phone calls, spreadsheets or back-to-back emails, Geo allows you to create, export and send quotes with ease.
The Quotes page
On the main Geo dashboard select the QUOTES tab, this will take you to the Quotes page. This is where your quotes live once you’ve created them.
Only Admins and Team Leaders can view and create quotes on this page (but staff can still create quotes through the JOBS tab). Here you can create, edit, delete, filter, search and sort quotes.
Creating a Quote
When you’re in the Quotes page you can create a new quote by clicking CREATE QUOTE in the top right-hand corner.
From there you’ll be taken to a form where you’ll need to fill out the following:
- Client (mandatory): Search from your existing client list or create a new client by clicking the + icon
- Job name (mandatory): Type in the name of the job you’re quoting for (e.g roof fix)
- Job address (mandatory): This will pre-fill if you select an existing client. For new clients, simply type in the address of where the job will occur
- Quote number (mandatory): You may add in an individual number for the quote, however, if left blank Geo will auto-generate a quote number for you.
- Date created: This will auto-fill with the current date
- Job description (optional): Add any descriptions about the job you’re quoting for (replace faulty roof tiles for X client). You can edit this at a later date
- Notes (optional): Type in any additional information as needed (e.g. Call Mark upon arrival for access to the roof). You can edit this at a later date
- Material and Labour (optional): Once the above is filled out you will be shown buttons in the right-hand corner to add any necessary materials and labour details for the job (e.g. roof tiles, hammer, etc). Filling in this section is what will generate the final costs for the quote, otherwise the quote's total will be $0.00.
Once the form is filled out, the estimated total in the bottom right-hand corner will auto-calculate your quote costs.
Once you are finished and happy with your quote you can save it by clicking SAVE QUOTE in the top right-hand corner.
Creating Quotes in the Jobs page
Staff don’t have access to the QUOTES tab on Geo, but they can still create quotes under the JOBS tab. However, this only applies to jobs they have been assigned to do.
To create a quote, go to your jobs list by clicking on the JOBS tab on the main Geo dashboard. Click on the job you wish to create a quote for. Click the ACTIONS button in the top right-hand corner and select CREATE QUOTE from the drop-down.
You will be taken to the same form as the one in the QUOTES tab, however, some details will already be pre-filled for you.
- Client (mandatory): Search from your existing client list or create a new client by clicking the + icon
- Job name (mandatory): Pre-filled with the job you selected
- Job address (mandatory): This will pre-fill if you select an existing client. For new clients, simply type in the address of where the job will occur
- Quote number (mandatory): You may add in an individual number for the quote, however, if left blank Geo will auto-generate a quote number for you.
- Date created: This will auto-fill with the current date
- Job description (optional): Pre-filled with the job description of the job you selected
- Notes (optional): Type in any additional information as needed, you can edit this at a later date.
- Material and Labour (optional): Add any necessary Material and Labour details needed for the job.
Once the form is filled out, the estimated total in the bottom right-hand corner will auto-calculate your quote costs.
Once you are finished and happy with your quote you can save your quote by clicking SAVE QUOTE in the top right-hand corner.
Quotes can be viewed by clicking on a job on the JOBS page and clicking on the QUOTES tab.
Editing a Quote
Sometimes things need changing. You can edit quotes in two ways:
- Going to your quote list on the main QUOTES page and clicking the pencil icon
- OR by viewing the quote by clicking on it and then clicking the pencil icon
There you can update and change any details as needed.
Exporting a Quote to a PDF
Once your quote is finalised you can export to a PDF for easy send off to your client. Click on the quote you would like to export from the list on the QUOTES page. When inside the quote page, click on the EXPORT button on the right-hand side. Your quote will download as a PDF.
Creating a job from a Quote
There may be times when you quote before you’ve been approved for a job. Because of that, you’ll create a quote without having an existing job in Geo yet. Once a quote has been approved by a client you can then create a job using details listed on the quote.
To create a job from a quote, click on the quote on the QUOTES page. Once in the quote, click the CREATE JOB FROM QUOTE button on the right-hand side.
Geo will automatically create a job and redirect you to the JOBS page, where you can view and edit details as needed. Any details on the Quote will be transferred to the job, including Client, Job Name, Address, Description and Billables.
