Geo desktop: Integrating with QuickBooks
Use Geo? Use QuickBooks? Sick of clicking between the two systems?
Great news! You can link up the two systems through the process of integration. This allows you to import and sync certain information from QuickBooks with Geo and have everything in one place.
NOTE: At the time of the first synchronization, GeoNext will assume that all unit prices from Quickbooks are either tax inclusive OR tax exclusive based on the GeoNext tax configuration in Settings. Updating this later will NOT change the unit price for any Billable already synchronized. Make sure that you select to use tax inclusive OR tax exclusive at the point of GeoNext setup and do not change this unless you understand that subsequent imported parts and material will have be considered to have tax included/excluded differently to your current Billables.
There’s a lot of advantages to integrating your QuickBooks account with Geo.
- Real-time syncing: This means anything is very beneficial and advantageous to those out in the field as well accessing Geo from console who are dealing with a various number of clients through the day to ensure that details will be up to date
- Two way syncing: Syncing includes - Taxes (Chart of Accounts) and Clients (Customer), Billables - Materials and Labour (Products and Services), Invoices and Payments
- You can decide what to import/sync when you link the two accounts. Options include Taxes (Chart of Accounts), Clients (Customer), Materials (Products) and Labour (Services).
- Decide what you want to keep or remove when disconnecting from Xero, which also includes Taxes (Chart of Accounts), Clients (Customer) Materials (Products) and Labour (Services)
- Integrate with QuickBooks wherever you are in the world!
- You can manually sync any of your data separately

Geo caters for the following QuickBooks types:

Connecting the systems
To connect QuickBooks to Geo, go to Settings, select the Integrations tabs and then click Connect on the QuickBooks option. Geo will then ask you to login with your QuickBooks username and password. From here you’ll be given the option to decide what you want to import/sync between Geo and QuickBooks.
The options include:
- Taxes (Chart of Accounts) - mandatory
- Clients (Customers)
- Materials (Products)
- Labour (Services)
- Invoices (Invoices)
- Payments (Payments)
The nitty-gritty details
Below is the details of how the syncing between Geo and QuickBooks works:
Taxes / Chart of Accounts
- When a Tax / Chart of Account is created, deleted or updated on QuickBooks, this will all be reflected within Geo
- When a Tax / Chart of Account is created, deleted or updated on Geo, this will NOT be reflected within QuickBooks
- Note: All Geo Tax Rates will be replaced with QuickBooks Tax Rates and managed from QuickBooks
Clients / Customers
- When a Client / Customer is created, deleted or updated on QuickBooks, this will all be reflected within Geo
- When a Client / Customer is deleted on Geo, this will NOT be deleted in QuickBooks
- When a Client / Customer is updated on Geo, this will be updated in QuickBooks
- When an invoice is created on Geo for a client, this client will created in QuickBooks
Materials / Products
- When a Material is created or updated on QuickBooks, this will all be reflected within Geo
- When a Material is deleted on QuickBooks, this will all be reflected within Geo
- When a Material is created or updated on Geo, this will all be reflected within QuickBooks
- When a Material is deleted on Geo, this will all be marked as Inactive within QuickBooks
Labour / Service
- When a Labour is created or updated on QuickBooks, this will all be reflected within Geo
- When a Labour is deleted on QuickBooks, this will all be reflected within Geo
- When a Labour is created or updated on Geo, this will all be reflected within QuickBooks
- When a Labour is deleted on Geo, this will all be marked as Inactive within QuickBooks
Invoice
- When an Invoice is created on QuickBooks, this will NOT be created in Geo
- When an Invoice is deleted or updated on QuickBooks, this will all be reflected within Geo
- When an Invoice is created, deleted or updated on Geo, this will all be reflected within QuickBooks
Payments
- When a Payment is created, deleted or updated on QuickBooks, this will all be reflected within Geo
- When a Payment is created, deleted or updated on Geo, this will all be reflected within QuickBooks
Disconnecting from QuickBooks
Should you disconnect QuickBooks from Geo, you can decide what information you want to keep or remove from your QuickBooks account.
